Secretary help from Azonation
Running the paperwork of a club takes time. Azonation's own secretaries can do it for you: from a distance, or in person where Azonation has an office near you. You stay in charge: they only work in your organisation while you allow it, and you see everything they do.
Remote secretary (an add-on)
- Open Secretary help and tap Ask for help. Tick what you need (agendas and notices, minutes, the AGM, member records, letters, filing, event lists), add a note and a date, and link the meeting or event.
- Azonation sends a price. Tap Accept the price: this is your written permission. The amount goes on your next monthly Azonation invoice.
- Follow the job on its page: messages, time spent, and what the secretary did. When it is done, give a rating.
- Need help every month? Choose a Package of hours instead; hours over the package are charged at its extra-hour rate.
In-person secretary (an add-on, where an Azonation office covers your area)
- Assistant secretary, for one occasion: someone comes to take attendance and minutes, run the AGM sign-in desk, count paper votes, run an event's check-in desk, deliver papers or put up notices. Give the place, the day and times, and who to ask for on the day. The price is the hours plus travel, worked out from the distance to your place. You are told when they arrive and when they finish.
- Executive secretary, every month: a paid secretary who runs your administration. Accept the proposed terms (start day, monthly fee, notice period, office services such as a desk, a postal address or post scanned for you), then add your committee's written authority. Choose what they may do; money over the limit you set waits for your yes or your treasurer's. They show to members as "Executive Secretary (Azonation)" and do not vote. Each month they send the committee a report, and scanned post appears on the contract page.
Your control: Azonation's staff can never open your organisation without an accepted job or contract. Their access ends by itself when it ends, and End access now stops it at once. Everything they do is in your activity log under their name.
Not offered in your area? The Modules page says "Not in your area yet". Remote help works everywhere.
