Who is coming to a meeting

Knowing beforehand who will come lets you plan the room, see whether you will reach the quorum, and stop typing apologies by hand.

  1. Members tap I'll be there or I can't come on the meeting, in the app or straight from the email (a short page asks them to confirm). "I can't come" can carry a reason. They can change their answer until the meeting starts.
  2. On the meeting page you see, for example, 8 coming, 3 can't come, 14 no reply · quorum 10. Tap See replies for the list; write down answers people gave you in person or by phone, and download the list.
  3. Members who said they can't come appear under Apologies in the minutes by themselves, and are suggested as excused when you mark attendance. Mark everyone who said they'd come as present gives you a starting point.
  4. Under Messages, Reminders choose when members who haven't replied get one reminder (2 days before at first), when you are warned if too few are coming for the quorum (3 days before), and your usual quorum.
Events too: the event reminder emails now have Going, Maybe and Not going buttons. A full event puts the member on the waiting list; a paid event takes them to the app to pay. When you tap Tell the members on an event, tick Also email the invitation to members to send it by email with the same buttons; the box shows how many members it reaches and how many emails are left this month. You can also tick it on the event form, under Tell the members when it is published. A repeating event is told once, with all its dates (on a date's page, choose All dates from this one on). Members open All dates of this event to see every date and reply to each one, say how many adults and children are coming, add a note, and show their ticket. At a paid event the ticket comes once the fee is paid, unless you tick Members may pay at the door under the fee: then members keep their ticket, the door shows "To pay: £8.00", and Paid at the door writes the cash into your books. A member who answers Maybe can give a rough number, shown to you as "Maybe: 4 people". Later, Send the invitation again to those who haven't replied.
At the door: a scan shows "Said they'd come", "Said maybe", "Said they can't come" or "Didn't reply".
