Azonation staff: Ask Azonation
The chat answers from the common questions and the user guide, and when no common answer fits, AI writes a short answer from them with its sources. Staff see what people asked, which questions it could not answer, what the AI answers cost, and the numbers.
- Open Ask Azonation in the staff menu: five tabs, Conversations, Not answered, Saved answers, Numbers and Settings. Your role needs "See Ask Azonation's chats" to look, and "Change Ask Azonation's settings" to change.
- Common questions are also the chat's common answers. For each, choose Where it shows (Help page only, Ask Azonation only or both), add Other ways people ask (one per line) and up to five Links under the answer (a page of the app such as /membership/fees, or https://…).
- Not answered lists the questions it found nothing for, answered only weakly, or that people marked as not helpful, the same question grouped together. Tap Make a common answer: a hidden common question starts with those words and opens in the editor; write the answer (English is needed too), tick it to show it, and save.
- Conversations shows every chat, with filters (website or app, kind of answer, rating, sent to the team, language, days, words). Tap one to read it like the chat, with the kind of answer, the score and the rating of each answer; an AI answer also shows its sources, the service and model, the tokens, what it cost and how long it took. A chat sent to the team also shows as a help request, marked From Ask Azonation.
- Numbers: questions, how many got a common answer, an AI answer, guide pages or nothing, Not answered (nothing found or marked not helpful), how many were sent to the team, the ratings, what AI answers cost on the website and in the app, how long an AI answer takes, and the 10 most asked questions. A note says when the website's AI has reached its monthly ceiling. Settings: on or off on the website and in the app, the welcome words and starter questions per language, how many days chats are kept, the limits, and an extra address for chats sent to the team. An empty box uses the standard words, shown in gray.
- AI answers (in Settings): on or off for the website and for the app, how many AI answers one visitor may have in an hour (more are answered without AI), the website's AI spend per month with what it has cost so far this month (when it is reached, the website answers without AI until the next month), and which AI service and model write them (empty: the AI helper's usual one). AI answers start once an AI service is connected on the AI helper page; the app's AI answers count in the AI helper's own monthly budget, never in an organization's.
- Saved answers: when someone marks an AI answer as helpful, or three different people ask the same question and nobody marks it not helpful, the answer is saved and the next person who asks gets it at once, without AI. It goes by itself when its guide page or common answer changes, when it is marked not helpful twice, and after 90 days. Tap View to read one, Delete to remove it, or Make a common answer to turn it into a common question (it starts with the question and this answer; check it before you show it). Numbers shows the share of saved answers and the AI cost saved.
- Weekly report: every Monday at 08:00 (London time) an email with last week's numbers, the questions asked most and those not answered goes to the staff whose role ticks "Get Ask Azonation's weekly report" (on the Staff page). In Settings, Send me a test sends it to you now. Numbers shows the same week under Last week.
- Search by meaning (in Settings): the chat then also finds the right common question or guide page when people use other words ("take money from members" finds "collecting fees"), and in other languages. Tick Search by meaning on and choose an Embeddings service (Claude has none; the service needs its key on the server). The card shows how many common questions and guide pages are ready; Prepare now prepares the rest, and new or changed ones are also prepared each night and after a common question changes. It costs very little. Numbers shows how many questions were Searched by meaning, how many were Found only by meaning, and what it cost. When the service is slow or fails, the chat answers by words, as before.
- Voice in the chat (in Settings): people can speak a question and hear the answers read aloud, with their own browser's speech, at no cost. Untick Voice on the website or Voice in the app to hide the microphone and Read aloud there. Azonation never gets the sound, only the words and whether a question was spoken: Numbers and the weekly report show the share Asked by voice, and a chat shows "Asked by voice" beside a spoken question.
- Answers from the records (in Settings): in the app the chat can answer questions about the organization a person is in from its own records (read only, only what that person may see, never recorded). Untick Answer from the organizations’ records to switch it off for every organization; each organization can also switch it off in its own settings. Numbers shows From the records (how many, and how many were not allowed) and a table of the kinds of question asked: numbers only, never the questions themselves.
- Drafts to check and save (in Settings): in the app the chat can prepare a notice, a meeting, an event, a task, a message to members, an expense claim, a project or a form from what someone asks and open its page with the boxes filled in. It never saves, sends or deletes anything, offers only what that person may already make there, and never records these requests. Untick Prepare drafts in the organizations to switch it off for every organization; each organization can also switch it off in its own settings. Numbers shows Drafts prepared (how many, and how many the AI filled in) and a table by kind: numbers only.
