When a member asks for their data, or to delete it
The law gives a member the right to see what you keep about them and to ask you to delete it, and gives you one month to answer. Azonation keeps the list and counts the days.
- Open Data requests in your organisation's menu. A request sent from the app is there already. You are told by a notice and an email.
- A request that came by letter or email: press Write down a request, choose the member and the day they asked.
- Download their data gives you the file to hand over, with your own notes about the member in it.
- Press Answer, write a few words, and for a request to delete leave Delete this member's personal data now ticked.
What deleting does: the member's name, contact details, birthday, notes and photo go, and their membership ends. Payments and attendance stay for your books, without a name. It cannot be undone.
Saying no: press Say no and give the reason, for example that the law makes you keep these records. The member is told your answer.
You are reminded a week before a request should be answered, and once more if its day passes.
How long to keep former members: at the bottom of the page, choose after how many years the personal data of a former member is deleted by itself (1 to 10 years), or never. It is off until you choose. What is deleted cannot be brought back.
Admins see this page always. For a helper, tick Data requests in their role.
