Forms and surveys

Sign-ups on paper slips and answers scattered over chat groups get lost. A form puts every answer in one place. (Forms and surveys is a module: see Modules.)

  1. Open Forms and surveys in your organisation's menu and press New form.
  2. Choose one of the 30 ready forms (sign up for an event, feedback, consent of a parent, member survey, volunteers, an accident report and more), or start with an empty one. Fill in the parts in [square brackets].
  3. Change the questions: each has a kind (text, one choice, several choices, yes or no, a number, a date, stars, email, phone, a file) and can be marked Must be answered.
  4. Choose who can answer: your members only (once each, in their member area), or anyone who has the link.
  5. Press Open it for answers. For a form for anyone, copy the link to share.
  6. Press See the answers: how many chose what, averages, and every answer in a table you can save as a file.
Members find the form on the page of your organisation in their member area, under Forms. You see who answered what.
Anyone with the link answers without signing in. Add a question for the name if you want to know who it is.
Once a form has an answer its questions stay as they are. Use Use it again to make a new one from it.
Close it when you have enough, set a last day to answer, or say at most this many answers: the form then closes by itself when it is full.
A question only for some: under a question choose Ask this question: Only when the answer to an earlier question is… For example "How many people?" only when "Are you coming?" was answered Yes.
A file as an answer (a certificate, a photo) works on a form for members.
On your website: tick Show on our website on a form for anyone and it is listed there while it is open.
A payment with a form: tick Take a payment with this form and type the amount. You do not need Online payments for this: without it people pay you in cash or by bank and you mark each answer as paid. It can be multiplied by the answer to a number question, for example the number of tickets. People pay online straight after they answer; the money goes into your books with a receipt, and the answers show who has paid. You switch it on and off for each form. It needs Online payments to be switched on first.
Paid in cash, or money to give back: on the page of answers, each answer that has something to pay has a Payment button. Mark as paid when someone paid you in cash or straight into your bank: choose where the money went and the day; it goes into your books with a receipt. Not paid after all takes that back if you marked the wrong answer. Give the money back: everything, or type a smaller amount. For a payment made online the money goes back to the card it was paid with (this cannot be undone); for a payment by hand you hand it back yourself and it is only written down. Either way your books and the receipt are corrected to match, and what was given back is not asked for again. An answer that holds money cannot be deleted until then.
Refunds, one way: every refund is written in your books as money out under Refunds, linked to the answer's payment; the payment and its receipt stay as they were. A payment made by hand asks you where the money came out and the day it went back. A payment made online is dated the day of the refund and comes out of the online payments place. Once money is given back the answer shows Given back in the payment column. Press Refund note to download a PDF of what went back, when, from where, and against which receipt.
