Certificates

A thank-you that people keep. A certificate with your organisation's name and logo, the person's name, and a number anyone can check, so nobody can make one up. (Certificates is a module: see Modules.)

  1. Open Certificates in your organisation's menu and press Give certificates.
  2. Say who gets one. Choose members yourself, and type the names of people who are not members, one on each line. To send someone who is not a member their certificate by email, add their email address after a comma (Olivia Brown, olivia.brown@example.com). Or let Azonation find them: Volunteer hours (everyone who gave hours in the days you choose), An event (everyone who came), A project (everyone who worked on it). Untick anyone who should not get one.
  3. Say what it is for: thanks, volunteering, taking part in an event, a course, an award, membership. Each brings its usual words, in your organisation's language. Change them as you like.
  4. Type who signs and their role, and choose the look: formal (dark) or light (kinder to a printer). Below you see how the first one will look.
  5. Press Give. Each person gets their own, with their name and their hours on it. Members are told in the app and by email, and find it under My memberships, on the Certificates tab.
The gaps in the words: words in square brackets are filled in for each person: [name], [organisation], [hours], [what], [from], [to]. If the words ask for something Azonation does not know for a person (their hours, when you chose them by hand), it tells you: write it in the words, or take the gap out.
PDF and print: open a certificate and press Download PDF for a file that looks the same everywhere, or Print for one sheet lying on its side (for the formal look, switch on "Background graphics" in the print window). Members get their certificate by email with the PDF attached, and can download it in their member area.
Signature, seal and background: on the Give certificates page, under Signature, seal and background, choose a photo of the signature, your seal or stamp, and a pale background for the whole sheet. They go on the certificates you give from now on; certificates already given keep what they had.
Keep your own words: tick Keep these words for next time and give them a name (First aid course). Next time choose them under Start from words you kept.
A certificate that runs out: fill in Good until (a first aid certificate). The day is printed on it. The person and you are told before (30 days, or as many as you choose under Before a certificate runs out at the foot of the Certificates page); afterwards its address says it has run out.
By themselves: with Automations, switch on A certificate after an event (everyone who came gets one the day after) or A certificate for volunteer hours (when a volunteer reaches the hours you choose, once a year) or A certificate each year of membership (on the day a member joined). Helpers who are not members are found from their hours too, when you choose Volunteer hours yourself. With branches, someone who works for one branch gives and sees that branch's certificates.
Is it real? Each certificate has a number (C-2026-00001) and a picture to scan. Anyone who scans it, or opens its address, sees who gave it, to whom, for what and when. Nothing else about the person is shown.
Something wrong on it? A certificate cannot be changed afterwards. Open it and press Withdraw this certificate, then give a new one. The withdrawn one stays in your list, the member no longer sees it, and its address says it was withdrawn.
