Azonation staff: invoices, payments and refunds
Azonation invoices organisations every month. Staff make and issue the invoices, write down what came in, give more time, and give money back.
- Invoices shows what is still to come in, what is overdue and what came in this month. Tap Make the invoices of this month: every organisation that owes something and has no invoice yet gets a draft; it is safe to do again. Then Issue all drafts, or open one and tap Issue invoice: it gets its number and the organisation is told; after that it cannot be changed.
- Something outside the monthly invoice? New invoice starts an empty draft: Add a line with what it is for and the amount, tax included (a minus takes something off).
- On an issued invoice, Record a payment for money that came by bank transfer, cash or cheque; Give more time stops reminders and warnings until a day you choose; Cancel invoice keeps its number on record as cancelled. Payments lists every payment written down; a mistake can be reversed.
- To give money back on a paid invoice tap Refund: paid online, the payment company returns it to the account it came from; paid by hand, give the money back yourself first and write it down. Confirm with your password or a code.
Invoice settings hold the days to pay, whether monthly invoices are issued automatically, how invoice and receipt numbers start, and what happens when an invoice stays unpaid: a final warning, then the organisation moves to the Free plan (nothing is deleted). Paid through a merchant shows the statements a merchant of record collected, its fee and what Azonation gets.
